When does a SharePoint migration become necessary?
Migrations are typically required when the current environment creates daily friction or security risks.
Here are some of the most common triggers:
Your SharePoint environment is reaching the end of support.
Organizations using older, on-premises SharePoint servers face loss of functionality and increased security risks as Microsoft phases out essential updates.
Shared drives and folders have become difficult to manage.
When content is scattered across local servers, files are frequently duplicated, folder structures become inconsistent, and employees waste time searching for documents.
Permissions have become difficult to control.
As access privileges accumulate over time, administrative oversight fades. Often, nobody is entirely certain who can view or edit sensitive files.
You have Microsoft 365, but SharePoint is underused.
Many businesses pay for Microsoft 365 licenses yet continue to rely on legacy file storage instead of using the cloud tools included with their subscription.
Remote or hybrid teams need better access to information.
Staff working outside the office have to deal with legacy systems that make secure document access and collaboration much harder than necessary.
Your current environment has outgrown the way it was built.
As your business evolves, your initial document libraries, workflows, and ownership structures no longer match how your organization operates today.
What SharePoint migration services include
A SharePoint migration involves much more than simply transferring files from one location to another. Moving your critical business data requires careful strategy to avoid costly downtime.
As part of Fidelis Cloud Services, our SharePoint migration guides you through the transition process, handling the planning and technical details so your business can continue operating smoothly.
We help you determine what content is moved and how the destination is structured for maximum productivity. You will also be able to set your team’s access and permissions, so your sensitive information remains secure.
The service is also comprehensive, with thorough post-migration support and follow-up. We manage how the migration is tested to confirm stability and performance, and provide training to establish exactly what happens after your users begin working in the new environment.
Typical Fidelis SharePoint migration service-scope checklist:
- Existing-environment assessment
- Content inventory and migration planning
- Destination SharePoint structure
- User and permission planning
- SharePoint Online/Microsoft 365 configuration
- Testing and validation
- Migration execution
- Post-migration support

Do you need a migration partner or is Microsoft's SharePoint Migration Tool enough?
Microsoft’s SharePoint Migration Tool is a capable utility for moving data, and if you have existing SharePoint expertise, it may be enough. But it cannot make strategic decisions for your business. It will not plan your site architecture, reorganize messy file structures, establish proper permission models, validate complex data, or train your team to adopt the new system. Use the information below to understand your needs.
Microsoft's SharePoint Migration Tool may be enough if:
- You have a small, simple data footprint with no complex workflows.
- Your current folder structure is already organized and accurate, so little cleanup or restructuring is needed.
- There are few users or stakeholders, so permissions are simple to configure.
- You have an internal or outsourced IT team with technical SharePoint expertise and bandwidth to manage planning, configuration, testing, training, and user support.
Migration support becomes more valuable when:
- Your internal or outsourced IT resources do not have SharePoint migration experience.
- Existing content, workflows, and integrations need to be reviewed and reorganized before migration.
- Your permissions and folder hierarchies need to be audited and restructured for security.
- Multiple departments or content owners are involved.
- The destination SharePoint structure needs to be designed.
- The migration needs staging, testing, user coordination, and validation.
What can be moved to SharePoint Online?
Whether your organization relies on aging physical hardware or fragmented cloud tools, Fidelis manages your entire migration into Microsoft 365. We ensure that your organization’s data and its underlying structure transition smoothly into SharePoint Online without data loss. Use the information below to find a match for your organization’s situation.
Potential source environments
- On-premises file servers: Local Windows servers, network-attached storage (NAS) devices, and network shares
- Legacy SharePoint platforms: On-premises SharePoint Server 2010–2019
- Third-party cloud storage: Google Drive, Box, Dropbox, Egnyte, and other commercial cloud repositories
- Microsoft 365 tenants: Tenant-to-tenant migrations, OneDrive for Business accounts, and legacy SharePoint sites
Content that may need to move
- Files and document libraries: Complete file trees, active archives, and nested folder structures
- Metadata and file history: File creation dates, author details, and other file metadata
- Permissions and access controls: User security groups, folder-level access controls, and sharing rules
- Sites and custom data: SharePoint lists, intranet pages, site navigation menus, and embedded web parts
Plan the destination before you move the content
A successful migration requires planning and cleanup before it begins. Simply copying your current drive and its files into SharePoint Online will carry over any existing structural inefficiencies and security risks. Instead, a managed migration serves as an opportunity to reorganize and streamline.
We work with you to review what actually needs to move or not. Redundant or unused content is archived or deleted. Together, we determine how your new SharePoint sites, folders, and metadata are structured to match how your employees actually work today.
We also establish clear content ownership and configure access controls to help ensure the right people in your organization have appropriate access to your data.
Typical Fidelis SharePoint pre-migration checklist:
- Audit existing content to identify duplicates, outdated files, and redundant data.
- Map out your business operations and design new site structures, Teams integration, document libraries, and naming conventions.
- Review or rebuild user access permissions based on current security requirements.
- Identify active workflows and software integrations tied to your existing storage.
- Assign departmental content owners to approve what is migrated, archived, or removed.

How a Seattle-area nonprofit successfully moved to SharePoint Online
Background
Everett Gospel Mission (EGM) is one of Washington's largest poverty-alleviation organizations, with a staff of over 50 and hundreds in their volunteer network. EGM operates from three permanent locations but regularly runs temporary sites across their communities. They therefore require mobile and multi-site collaboration.
Working with Fidelis, EGM's leadership realized the benefits of moving beyond their onsite servers to unlock the communication features of Microsoft 365. They also recognized the opportunity to eliminate the cost of their physical servers and the additional VPN/remote access solutions. A migration to SharePoint Online was then planned.
The Fidelis SharePoint migration approach
The Fidelis team used their standardized migration process to work with EGM on the planning and design of the move to Sharepoint Online. They ran a proof of concept to ensure EGM's legacy workflows would function correctly in the cloud, then began the migration in stages, testing/validating each to ensure stability.
To maintain data integrity and access control in the new environment, attributes of EGM's legacy systems were carefully mapped to the new environment. These included file metadata such as creator and creation/modification dates, as well as settings for user identities and permissions.
Before the final cut-over, Fidelis helped prepare and deliver training to EGM staff so they could manage the change and continue operating throughout the migration process. With the move to SharePoint Online, EGM implemented Microsoft Teams for its collaboration functionality. Fidelis provided specialized Teams training for EGM staff, with multiple training sessions remotely and on-site.
Result
EGM's successful migration to a well-organized SharePoint cloud environment eliminated onsite servers across three permanent locations. This resulted in considerable hardware cost savings for the nonprofit and allows them to take advantage of cloud tools such as data loss protection, that are not as easy to implement on local file servers. By introducing Microsoft Teams, EGM could seamlessly connect their permanent and temporary sites, increasing real-time collaboration to deploy resources and better facilitate their poverty-alleviation efforts.
